About the role:
Reporting to the General Counsel, Legal & Compliance team, and EVR executive management team, the Executive Assistant, Corporate is responsible for providing senior administrative, legal coordination, and corporate governance support to the Vice-President, General Counsel & Corporate Secretary and the Legal & Compliance Department.
The role also provides coordination and executive administrative support to Vancouver-based executives and senior leadership working in Vancouver. This is an executive-level support role requiring strong judgment, discretion, and the ability to manage highly confidential and commercially sensitive information.
The position serves as a key coordination point between EVR and Glencore leadership, shareholders, external counsel, and corporate and operations teams across multiple jurisdictions including Canada, Australia, Japan, Korea and Switzerland.

In this role you will:
- Participate in and adhere to health and safety programs and policies
- Serve as a trusted coordination partner to the VP, General Counsel & Corporate Secretary, helping manage priorities and information flow
- Triage and prioritize incoming communications and identify urgent or high-impact matters
- Prepare and format executive correspondence, memoranda, presentations, and briefing materials
- Liaise with senior executives, Board members, shareholder representatives, and external stakeholders to facilitate communication and follow-through
- Manage the VP, General Counsel & Corporate Secretary’s calendar, scheduling priorities, travel, and logistics in alignment with business and legal priorities
- Provide administrative coordination and calendar support for other EVR executives as required
- Support day-to-day operations of the Legal & Compliance Teams based in Vancouver and Calgary
- Maintain legal trackers, contract status lists, regulatory calendars, and compliance records
- Coordinate internal approvals, document execution, and signature processes across the organization
- Track legal deadlines, regulatory obligations, governance milestones, and litigation matters
- Support document management, retention protocols, and legal holds
- Assist with internal investigations, compliance reviews, and training logistics
- Help manage departmental workflows, shared resources, and intake of legal requests
- Assist with preparation of Board and Shareholder Committee meeting materials
- Coordinate agendas, resolutions, and written consents
- Compile and distribute Board and Shareholder Committee materials through secure board portals and liaise with Shareholder Committee Representatives in Sydney, Tokyo and Seoul
- Maintain corporate records, minute books, and governance documentation
- Assist with director onboarding, certifications, and conflict-of-interest tracking
- Support corporate entity filings and record-keeping across jurisdictions
- Liaise with external law firms regarding scheduling, document requests, and billing
- Coordinate document production, discovery materials, and evidence organization
- Track engagement letters, budgets, and legal accruals
- Assist with regulatory inquiries, audits, and litigation administration
- Maintain legal hold and document preservation processes
- Act as liaison with Glencore Legal & Compliance teams in Australia, Canada and Switzerland
- Coordinate meetings, approvals, and document flow across North American, European, and Australian time zones
- Facilitate communication between the VP, General Counsel & Corporate Secretary and global legal, compliance, finance, and executive leadership teams
- Prepare and distribute materials required for parent company and shareholder governance processes
- Track action items arising from global executive and legal meetings
- Manage secure transfer of confidential and privileged information via data rooms and secure platforms
- Provide limited after-hours coordination where required to meet international deadlines
- Interface with Operations, Finance, HR, Sustainable Development, and Government Relations teams to gather required information
- Assist with records management and document control initiatives
Requirements
- 10+ years’ experience as a legal assistant or senior executive/legal support professional in a large law firm, public company, or complex corporate environment
- Experience supporting a senior partner, General Counsel, or executive leadership team strongly preferred
- Experience in a global or multinational organization, including coordination with teams across multiple jurisdictions and time zones, is preferred
- Exposure to corporate governance, regulatory matters, litigation coordination, or board materials is an asset
- Advanced Microsoft Office skills (Word, Outlook, Excel, PowerPoint), including formatting and redlining of complex documents
- Experience with document management systems (e.g., SharePoint) and secure data rooms
- Familiarity with board portals and e-billing platforms is an asset
