Johannesburg, South Africa

We are seeking a motivated and detail-oriented individual to join our HR Services team in Johannesburg, South Africa. This role provides valuable exposure to international HR operations and the opportunity to develop skills that will support your career in Human Resources.

The HR Services Partner operates as part of the EMEA HR Hub, delivering high-quality and timely HR Services across multiple countries. The role operates within a global shared services framework, using standardised, documented and repeatable processes, supported by the Service Management tool (Servicely), Workday and established knowledge, checklists and workflows.

The role is responsible for delivering HR transactions and services in line with defined service catalogue, processes, Service Level Agreements (SLAs), controls and local requirements.

HR Services Delivery

  • Deliver HR Services across the employee lifecycle for multiple countries, following standardised global processes, documented procedures, knowledge articles, checklists and workflows.
  • Manage and prioritise assigned requests and transactions through Servicely, ensuring accurate and timely action, appropriate communication and resolution within agreed SLAs.
  • Provide a consistent and professional service to employees, managers, HR Business Partners and other stakeholders through defined HR service channels.
  • Apply global processes consistently while recognising and correctly applying documented local country requirements and approved exceptions.
  • Maintain accurate and complete records of activities, decisions and supporting documentation within the relevant systems.

Employee Lifecycle Administration

  • Deliver end-to-end onboarding and offboarding activities in accordance with documented processes, workflows and country requirements.
    • Onboarding: work with Talent Acquisition from offer acceptance; initiate and complete the hire process in Workday; coordinate required pre-employment documentation and checks; schedule induction activities; and coordinate with IT, Office Services and other relevant teams for new-joiner requirements.
    • Offboarding: process terminations in Workday within agreed timelines; coordinate required documentation and activities; ensure completion of relevant access revocation and other exit requirements.
    • Intercompany transfers: coordinate the required onboarding and offboarding activities across entities, ensuring accurate and timely processing.
  • Initiate and complete Workday transactions for new joiners, leavers and employee lifecycle changes in accordance with documented processes and payroll processing deadlines.
  • Ensure all required employee documentation is collected, validated and recorded in accordance with the relevant process and country requirements.
  • Maintain employee digital personnel records and ensure Workday data is complete, accurate and up to date.

Contracts & Employee Documentation

  • Prepare employment contracts, amendments, termination agreements and other employee documentation using approved templates, workflows and knowledge resources, ensuring compliance with global standards and documented local requirements.
  • Escalate non-standard contractual or legal matters to the Team Leader rather than independently deviating from established processes.

Service Management, Case Resolution & Escalation

  • Manage employee and manager queries through the designated HR service channels, including Servicely
  • Monitor assigned cases through to resolution, providing clear updates and ensuring appropriate documentation of actions taken.
  • Identify cases that fall outside standard processes, require specialist input or present a potential compliance or employee-relations risk, and escalate through the defined escalation routes.
  • Contribute to the identification and resolution of recurring service issues and trends.

Data, Controls & Payroll-Critical Activity

  • Complete Workday transactions and employee data changes accurately and within agreed payroll processing deadlines.
  • Run defined monthly and quarterly Workday reports and complete required data validation, reconciliation and quality checks.
  • Maintain data integrity through established controls, queries, audits and reporting.
  • Ensure timely completion of payroll-critical HR Services activities, including collection and validation of required documentation and follow-up on outstanding actions.
  • Apply defined operational controls and checklists to ensure transactions are completed accurately and consistently.

Knowledge & Process Adherence

  • Use and maintain knowledge articles, standard operating procedures, checklists, workflows and other process documentation as the primary source of guidance for service delivery.
  • Follow the established global HR Services framework and identify where processes, documentation or knowledge require clarification or updating.
  • Support the implementation of global HR processes, policies and service standards across the EMEA region.
  • Keep up to date with relevant country-specific requirements and ensure that approved local variations are correctly reflected in service delivery and knowledge content.

Continuous Improvement

  • Contribute to continuous improvement initiatives, including process simplification, standardisation, automation and improved use of Workday and Servicely.
  • Support the testing, implementation and embedding of changes to HR Services processes, workflows, knowledge and systems.
  • Provide feedback to the HR Services Team Leader on process gaps, recurring issues, control weaknesses and opportunities to improve service delivery.

Shared Services Mindset

  • Operate with a service-centre mindset, balancing employee experience with consistency, efficiency, controls and compliance.
  • Take ownership of assigned services and transactions through to completion rather than relying on informal or individualised ways of working.
  • Work collaboratively across the EMEA HR Services team, sharing knowledge and supporting consistent service delivery rather than operating as a standalone country administrator.

Key Relationships:

  • HR Business Partners
  • Talent Acquisition Specialists
  • Payroll Operations Partners
  • Workday Specialists
  • Regional Leads, where applicable

Desired Experience and Qualifications:

  • 5+ years' experience in a Shared Services Centre (SSC), Global Business Services (GBS) or regional support hub.

  • Demonstrated experience working to service level agreements (SLAs), managing case resolution, maintaining service quality, and meeting operational performance targets.
  • Experience maintaining knowledge articles and standard operating procedures (SOPs) and contributing to continuous improvement initiatives.
  • Experience operating within a high-volume, transaction-based environment with a strong customer service focus.
