Coupa Regional Support Specialist and Training Backup

We are looking for a Coupa Regional Support Specialist and Training who will be responsible for support and leadership around the use of Coupa within business processes. The Regional Support Specialist will facilitate and provide support when required to support the development of business cases, conduct research for new releases and features, new products or modules, configuration of the local Coupa instance, test and integrate innovations to our standard procurement systems.

The scope of work the incumbent will manage a range from the current Coupa modules* process integrated to SAP, Mincom Ellipse, and other ERPs, along with other parallel enabling systems such as Boomi and Power BI. The Incumbent will also work closely with colleagues focused on requirements such as internal and external audits, monitoring, reporting and the continuous evaluation of our current systems and processes.

The Incumbent will play an integral role in the organisation as a technical expert and subject matter expert for our Coupa S2P environment, procurement standards, providing technical support to the various sites and businesses within their region as needed.

Key Responsibilities:

  • Serve as a Subject Matter Expert (SME) for the Coupa platform, providing support across regions when additional expertise is required.

  • Contribute to the development of business cases for new sites or business units, as requested by the Coupa Global Process Owner.

  • Collaborate with regional Coupa leads, functional stakeholders, and support teams to align enablement activities with business priorities.

  • Assist regional Analysts when needed to ensure service continuity and platform support coverage.

  • Participate in cross-functional working groups, project meetings, and steering committees to represent enablement needs in Coupa-related initiatives.

  • Responsible for participating in the Glencore’s Coupa Change Control Board

  • Responsible for the ongoing maintenance, development and improvement of the Coupa platform and functional design within Glencore aligning and coordinating requirements/changes with those of the Global team, ensuring that the Coupa platform continues to support the requirements of our evolving business

  • Provide an ongoing Coupa change management service to the business proactively ensuring that the regional requirements receive the right level of prioritisation and that the impact of new features and changes resulting from the Coupa quarterly release cycle are understood, communicated, and deployed in a manner that maximises benefit and minimises risk to the business.

  • Manage and implement any requirement from the corporate offices that can be facilitated through the Coupa Risk Assess platform in coordination with the Coupa Risk Assess Platform Manager. It is imperative that this platform be well maintained and continuously developed in the same manner as Coupa S2P.

  • Be a Subject Matter Expert (SME) for the Coupa platform and from time to time will be called upon to support the development of business cases for other sites and business units when required by the Coupa Global Process Owner. The Regional Support Specialist will also support the other Analysts as required to maintain continuity of service.

Governance

  • Represent the requirements and needs of the various BUs in their region including communicating with Glencore’s Coupa Change Control Board with respect to the regional BU’s priorities, issues, concerns, and/or changing solution requirements

  • Ensure compliance with all applicable regulations (ISO, Health, Safety, Financial Audits, etc.)

  • Work with key stakeholders on compliance with Glencore’s supplier and procurement standards (Ie KYC, SCDD, RS, and RTS)

  • The incumbent will spend time in the field coordinating with key stakeholders throughout Glencore to support:

Value Realization

  • Analyse and report on KPI’s underpinning the Coupa business case(s)

  • Ensure that site procurement & management teams understand the benefit realised to their specific operation through the use of the Coupa platform on a regular basis

  • Regularly evaluate and mine new opportunities utilising all available tools and metrics and convey those to the local business teams.

  • Drive initiatives to ensure the maximum benefit realisation of Coupa supported by relevant KPI’s

  • Continuously meet with the Coupa enabled sites to identify gaps and opportunities to improve on current best practices.

  • Provide the required monthly and/or quarterly reports to the site Procurement, Maintenance, or Finance teams.

  • Work closely with the SAP, Coupa & Boomi support teams to direct the prioritisation and tracking of issues and requests to ensure that they handled with the right level of priority

Change / Release Management

  • Lead internal communications with respect to the Coupa solution, including rollouts, enhancements, fixes, and value realisation

  • When processes directly or indirectly affecting Coupa are proposed to be changed, work closely with the relevant teams to provide input into how that change would affect the application and its functionality

  • Proactively analyse and mitigate risk resulting from the Coupa quarterly release program and coordinate the deployment of new features and changes to currently deployed features in conjunction with the Regional Middleware Lead and the site procurement leads

  • In conjunction with the Regional Middleware Lead identify, assess, document, configure and manage new business requirements that will result in changes to the current Coupa deployment in their region.

  • Maintain the Coupa functional design documentation in line with all changes to the system design, and in conjunction with the Technical Support roles

  • Ensure that the Coupa functional design remains aligned to key financial and procurement controls/policies within the Glencore BUs in their region

  • Analyse, document, and resolve problems that arise when Coupa is not creating successful/expected output

  • Participates in the appropriate training within the scope of responsibilities to further develop business process knowledge

Catalog Management

  • Ensure that the cataloguing strategy meets with business requirements, industry best practices and maximises the potential value of the platform within Glencore

  • Ensure that the catalogue data quality meets the requirements as set forth in the cataloguing strategy and standards

  • Advise the local cataloguing teams of any new features or new opportunities around data management

  • Assist and advise in new projects related to cataloguing and content such as populating photos, using punchout catalogues, engaging suppliers for enabling supplier managed catalogues

Designing and delivering structured training programs

  • Develop and maintain training materials tailored to various user roles, including onboarding presentations, videos, process walkthroughs, and reference guides.

  • Deliver global and regional training sessions through virtual platforms and coordinate in-person sessions where applicable.

  • Maintain a structured training repository to ensure content is accessible, version-controlled, and aligned with current system functionality.

  • Support regional teams with custom enablement requests in alignment with global standards.

Driving Automated Testing Processes

  • Work with technical teams to set up and maintain automated test frameworks.

  • Integrate automated testing into major and minor releases and key enhancements.

  • Reduce manual testing effort by using standardised, repeatable test scripts.

  • Share best practices and train regional teams on how to use and benefit from automated testing.

  • Monitor results, improve coverage, and report outcomes to the Coupa Global Team Lead and Change Advisory Board.

Candidates who would

  • A Business or Information Technology Related Degree or Diploma with a minimum 5 years of significant practical experience in an S2P environment managing the delivery of value to the business.

  • A comprehensive understanding of the Coupa Source to Pay Platform and associated ERP’s, such as, SAP ECC, SAP S4HANA, and others.

  • A demonstrable familiarity with Systems Analytics and Reporting tools such as Power BI is a pre-requisite for the role.

  • It is essential the incumbent is customer focused; business oriented and has strong leadership and project management skills with an emphasis on interpersonal, team building and change management

  • Excellent written and verbal communication, facilitation, and presentation skills.

  • In addition to one of the local regional languages, fluency in spoken and written English is required (Spanish, French advantageous)

  • Be comfortable to travel to Glencore sites regionally as required
