Job DescriptionPayroll Processing and Pay Cycles
- Execute end-to-end payroll processing across weekly, fortnightly, or monthly cycles in collaboration with GCAA corporate payroll team.
- Manage complex pay conditions including shift allowances, overtime, site-based incentives, and leave entitlements.
- Ensure all payroll transactions are processed accurately and within strict deadlines.
- Reconcile payroll prior to finalisation, identifying and resolving discrepancies.
- Conduct payroll improvement activities when needed, including timesheet audits, leave reconciliations, and data verification.
- Ensure HRIS records (e.g. SAP) are accurate, up to date, and maintained with data integrity.
- Maintain confidentiality of payroll information and handle sensitive employee data in line with privacy and data security requirements.
Payroll System Management
- Utilise SAP and Workday (including other relevant systems- SAP HCM/SuccessFactors) to process payroll transactions and maintain employee records.
- Maintain and update payroll master data, ensuring integrity and compliance.
- Administer employee movements such as roster changes, transfers, secondments, promotions, and terminations, ensuring accurate processing of associated payroll documentation and system updates.
- Troubleshoot system issues and liaise with IT or external vendors when required.
- Support system upgrades, testing, and process improvements within SAP/payroll/relevant system.
Data Analysis and Reporting
- Take ownership of EOM reports and data analysis and ensure relevant reporting deadlines are met, providing insights to inform decision-making and strategic planning to the HR Manager.
- Analyse payroll data to identify trends, anomalies, and opportunities for cost optimisation.
- Prepare regular and ad-hoc reports for HR Manager and site leadership.
- Conduct variance analysis across pay cycles, rosters, and labour costs.
- Support audit processes through detailed data extraction and validation, including G2G reporting/checks.
Compliance and Governance
- Ensure payroll operations comply with relevant legislation, awards, enterprise agreements, and company policies.
- Maintain accurate records for audit and reporting purposes.
- Monitor changes in payroll legislation and recommend updates to processes.
- Maintain accurate documentation of all employment-related matters, ensuring transparency, consistency, and legal defensibility.
- Support HR audits, risk assessments, and compliance initiatives to drive continuous improvement and regulatory adherence.
Stakeholder Engagement
- Provide payroll support to site employees, HR teams, and management.
- Respond to payroll queries in a timely and professional manner.
- Collaborate with HR and Finance teams to ensure alignment of workforce data.
Continuous Improvement
- Identify and implement process improvements to enhance payroll efficiency and accuracy, including leading under HRM direction relevant payroll projects including but not limited to the Hail Creek Fortnightly Payroll Project.
- Develop and maintain payroll procedures and documentation.
- Contribute to automation and reporting enhancements using SAP/Workday and related tools.
