Job Description

Reporting to the Supply & Contracts Superintendent, you will be responsible for varied tasks across the Contracts portfolio with the opportunity to make the role your own and be challenged at every level.

About the Role

The Contracts Coordinator provides support functions for the Supply & Contracts Superintendent and broader Procurement Team by:  

  • Contributing to the development and implementation of plans and processes to improve all activities within the Procurement area to achieve forecasted targets.

  • Support operational or divisional budget in terms of managing resources effectively, including monitoring and controlling costs.

  • Proactively Identifying and managing potential contract risks to meet organisational obligations and achieve planned outcomes of the contract.

  • Tendering and Administering contracts in accordance with guidelines, policies and procedures and update contract details to maintain the integrity of contract information.

  • Managing the planning and coordination or resources within area of responsibility.

  • Interpreting and explaining contract requirements and terms and conditions to stakeholders to support compliance with statutory and policy requirements and inform decision-making.

  • Drafting and reviewing contracts and tendering documents, ensuring accuracy and compliance with company policies and legal requirements.

  • Collaborating with cross-functional teams and department leaders to gather necessary information for contract creation and execution.

  • Taking the lead during contract negotiations to ensure best value for HVO and business risks mitigated.

  • Managing document filing, contract management systems and project management software, ensuring all documentation is organised and accessible.

Roster and Location

  • Monday to Friday professional roster

  • Based on site at HVO (off Lemington Road)

About You

  • A tertiary qualification in Contracts, Contract Management, Business or equivalent discipline

  • Minimum 5 years’ experience in a similar role, preferably in the mining industry

  • Demonstrated experience managing requests for tender, the evaluation and negotiation of tenders, the development of contracts and management of contractors

  • Excellent knowledge of Contracts practices and intricate understanding of SAP including Procure to Pay

  • Excellent MS Office skills (Excel, Word, PowerPoint)

  • Current Australian Drivers licence

  • Project management & delivery experience (desirable)

  • Proven ability to lead a high functioning strategic Contracts and contract management team to achieve positive strategic outcomes in a large complex organisation

  • High-calibre interpersonal and communication skills, coupled with strong problem solving and analytical ability

  • A demonstrated understanding of leading practice tools, systems and frameworks to deliver effective and strategic Contracts outcomes

  • A recognised change agent with the proven ability to influence stakeholders, foster co-operation and support and drive organisational change outcomes

  • Demonstrated ability to lead / provide advice on contract negotiation and dispute resolution

  • Demonstrated skills in “mentoring” teams, transferring knowledge, and building strategic Contracts capacity within a team
