About the role:  

Reporting to the Supervisor, Maintenance Planning, the Administrative Assistant, Maintenance is responsible for managing the clerical responsibilities of the maintenance department. 

To be successful, we are looking for someone with strong organizational skills, high attention to detail, being adaptability and strong collaboration skills.

In this role you will:

  • Participate in and adhere to health and safety programs and policies  

  • Complete day-to-day clerical duties such as data entry, filing, scanning, scheduling, and month end obligations including assisting supervisors with general clerical and technical issues 

  • Set up and track Purchase Journals and Work Orders through ERP & CMMS systems 

  • Liaise with service desk for technical requests, and on-boarding 

  • Track hourly and staff employee vacation as well as employee and contractor time data 

  • Track staff payroll via Time Administrator Portal 

  • Schedule and prepare monthly safety meeting presentations  

  • Prepare action logs for scheduled meetings 

  • Track various Key Performance Indicator’s for daily and weekly reports 

  • Perform other responsibilities as required or as assigned 

Requirements:

 
  • High School Diploma or equivalent  
  • Relevant technical training  

  • Minimum three years of clerical experience in a high paced, industrial environment is required 

  • Excellent communication and interpersonal skills  

  • Ability to multi-task and meet deadlines is essential 

  • Strong knowledge of Microsoft Office Suite®: Word, Excel, PowerPoint, and Sharepoint 

  • Familiarity with the Maintenance Work Order system, Training History, and Microsoft Dynamics is preferred 

  • Familiarity with SAP S4/HANA preferred 

  • Valid Class 5 Driver’s License or equivalent 

Salary range: $59,000 - $73,000

The actual base salary offered is determined based on the successful candidate’s relevant experience, skills, and competencies and considers internal equity.
