This residential Townsville-based role operates on a Monday to Friday roster and offers the opportunity to join a supportive and collaborative team.

About the Role
Reporting directly to the Superintendent Port Operations, the Administration Assistant will play an important role in supporting the efficient day-to-day activities of the Logistics Department. This position requires a highly organised and proactive individual who enjoys working in a fast-paced environment, managing competing priorities and delivering exceptional customer service to internal and external stakeholders.
You will provide a broad range of administrative support across the operation, coordinate logistics activities, maintain compliance documentation and contribute to process improvement initiatives that support the success of the business.
Key Responsibilities:
- Support AMSA document requirements and IMO regulatory compliance activities
- Process and raise invoices accurately and efficiently
- Coordinate visitor site access and site visit bookings
- Develop and maintain administrative systems and processes to support continuous improvement
- Manage office inventory and ensure adequate stock levels are maintained
- Collaborate with site administration teams on planned and ad hoc projects
- Support onboarding activities for new employees in partnership with Human Resources
- Provide contractor administration support across site
- Coordinate and liaise with contractors and external service providers
- Manage management calendars and scheduling requirements
- Assist with site functions, events and team activities
Required Experience
The ideal candidate will bring previous experience in an administration role within a busy operational, industrial or corporate environment. You will be recognised for your strong organisational skills, attention to detail and ability to manage multiple priorities while maintaining a high standard of work.
You will enjoy working collaboratively with a range of stakeholders and possess the initiative to identify opportunities for improvement while delivering exceptional administrative support.
Qualifications Required:
- Previous experience in an administration or administrative support role
- Proficiency in Microsoft Office applications including Outlook, Word and Excel
- SAP experience or exposure highly regarded
- Current Australian Manual Driver's Licence
- Strong customer service and stakeholder engagement skills
- Excellent organisational and time management capabilities
- Ability to prioritise competing tasks and meet deadlines
- Strong communication, problem-solving and attention to detail skills
