The role in a nutshell:
In this role, you will be responsible for providing front line customer service, coordinating the distribution of Sulfuric Acid and Fluorspar from Glencore’s Plants (Canada) and Terminals (USA). Effectively communicating relevant information to Customers, Sales, Supply Chain, Logistics and Technical departments.
More specifically, you will be expected to:
- Oversee the administration of purchase and sales contracts, including shipment documentation, logistics planning, material pricing, and associated activities.
- Coordinate KYC (Know Your Customer) processes and the FOF (First Order Form) in collaboration with Sales and customers.
- Monitor contract documentation, including co-managing contractual amendments and addendums.
- Manage order processing, ensuring coordination and scheduling via rail, truck, vessel, and barge, with continuous updates throughout the month and at month-end.
- Collaborate with Traders and Credit on customer credit-related issues.
- Provide regular reports on shipment status, customer inquiries, production guidance, inventory levels, and product quality to the Commercial/Trading teams.
- Coordinate with Logistics regarding customer shipping details.
- Monitor customer inventory to ensure a reliable supply of acid both in transit and on-site.
- Ensure all documentation adheres to the company's internal guidelines.
- Maintain accurate file tracking in the proprietary system, including shipment details and statements.
- Process customer invoices and facilitate payment collection, including reviewing and processing additional charges related to customer shipments.
- Follow up on outstanding or overdue invoices with customers for collections.
- Be available to handle customer calls 24/7, including statutory holidays, to manage emergency orders and cancellations as part of an on-call rotation (seven weeks).
- Provide backup support to team members during their travel and vacation periods.
Do you have what it takes?
- Post-secondary degree (Business, Commerce, Logistics) or the equivalent.
- Minimum 2 years of work experience (ideally with an exposure to logistics and/or commodities).
- Strong customer service and interpersonal skills
- Capacity to identify issues, analyze situations, and develop effective solutions is important for managing customer inquiries and logistical challenges.
- The ability to work well with diverse teams, including Traders, Credit, and Logistics, is vital for reaching common goals and enhancing overall efficiency.
- Excellent verbal and written communication skills, enabling effective interaction with team members and customers. They should be highly organized, capable of managing multiple tasks efficiently, and attentive to detail, ensuring accuracy in contract administration and documentation.
- This position requires a commitment to being in the office five days a week
Travel: Occasional travel may be required.
Language: Advanced proficiency in English (verbal and written) is mandatory. The knowledge of French is beneficial.
Location: Corporate office in Toronto.
